The IT Storage Challenge

IT and technology companies face a recurring storage problem that the office floor plan was never designed to solve.

πŸ’»

Device Refresh Backlog

IT refresh cycles generate hundreds of old laptops, monitors, and peripherals with no organised holding area before redeployment or e-waste.

🏒

Office Expansion / Contraction

Hybrid work means surplus workstations sit in open-plan offices. IT can't use them, facilities can't move them, and space costs money.

πŸ”

Secure Decommission Gap

Decommissioned servers and network hardware containing sensitive data need secure, documented storage before certified data destruction β€” not the office parking lot.

How SafeStorage Solves It

Six capabilities built for the compliance, security, and operational realities of India's IT and technology sector.

πŸ›‘οΈ

ESD-Safe Storage for All IT Hardware

Electrostatic-discharge-safe storage environments for laptops, servers, networking hardware, and precision electronics β€” protecting components during the entire storage period.

🏷️

Individual Device Tagging by Serial Number

Every device is photographed and barcoded against its serial number or asset tag. Your IT team receives a full inventory within 24 hours of induction.

πŸ”’

Secure Cage Storage for Servers and NAS

Decommissioned servers, NAS units, and network switches containing sensitive data are stored in biometric-access cages with CCTV 24/7 Surveillance and NDA-bound staff.

πŸ”„

Sanitised Return for Device Re-Issue

Clean devices that pass IT review are stored separately, ready for dispatch to new hires. Retrieval by serial number within 24–48 hours to any office location.

♻️

E-Waste Disposal with CPCB Certificate

Devices cleared for disposal are transferred to CPCB-authorised e-waste processors. Individual destruction certificates per device β€” suitable for ISO 27001 audit submissions.

🧾

GST Invoices for IT Cost Accounting

Fully GST-compliant invoices with correct HSN codes for input tax credit, structured for IT department cost accounting and quarterly expense reconciliation.

Compliance & Industry Considerations

IT companies under ISO 27001 or SOC 2 require documented chain-of-custody for all decommissioned devices containing data. SafeStorage's barcoded tracking β€” linking every device to its serial number, induction date, storage location, and retrieval events β€” and NDA-bound staff together support this requirement. Chain-of-custody logs and device movement records are available on request for inclusion in audit evidence packages.

Used in ISO 27001 audit submission

The Challenge

A Chennai-based IT services company with 800 employees completed a data-centre decommission as part of a cloud migration project. The decommission produced 350 laptops from a workforce device refresh cycle and 12 rack-mount servers from the on-premises data centre β€” all containing residual data that could not be cleared immediately. The IT and compliance teams needed a documented, secure holding environment for these devices while data sanitisation reviews were completed and while new hire onboarding created demand for the refurbished laptops over the following months. Keeping the devices in the office was not an option β€” there was no secure, access-controlled space, and the open-plan floors had already been reallocated for hybrid seating.

The Solution

SafeStorage inducted all 350 laptops and 12 servers in a single day. Each laptop was photographed and barcoded against its serial number and IT asset tag. The 12 servers were inventoried at the rack-unit level with model numbers and serial numbers documented. All server hardware was stored in a biometric-access restricted cage bay. The 280 laptops cleared for reissue were stored in a separate ESD-safe bay, accessible to the IT team for dispatch to specific new hires on request. The 70 laptops identified for e-waste disposal were maintained in storage until the company's IT review was complete, then transferred directly to a CPCB-authorised e-waste processor with individual destruction certificates issued per device.

The Result

Over the following six months, 280 laptops were dispatched on a rolling basis to new hires across the company's Chennai and Hyderabad offices β€” each retrieved by serial number and delivered directly. The 70 disposal laptops and all 12 servers were cleared with CPCB destruction certificates, which the compliance team incorporated into their ISO 27001 audit evidence package. The SafeStorage chain-of-custody log β€” covering every device movement from induction through storage to final disposal or reissuance β€” was submitted as supporting documentation in the annual ISO 27001 audit and accepted without qualification.

"The chain-of-custody documentation SafeStorage provided was exactly what our ISO 27001 auditors required. We'd previously had no way to prove that decommissioned hardware was stored securely between decommission and destruction β€” this was the gap SafeStorage closed for us."

FAQs β€” Storage for IT Companies

Common questions from IT and technology teams before moving devices off-site.

Office storerooms are not controlled environments β€” they have no biometric access, no inventory tracking, and no insurance. Decommissioned devices often contain sensitive data and need documented chain-of-custody storage before certified destruction. SafeStorage provides biometric-access bays, serial-number tagging, and NDA-bound staff.

Yes. Every device β€” laptop, monitor, server, switch β€” is individually photographed and barcoded against its serial number at the time of induction. You receive a full inventory spreadsheet with photos and serial numbers within 24 hours.

Yes. SafeStorage partners with CPCB-authorised e-waste processors. Devices stored with us can be transferred directly to the e-waste processor, with individual destruction certificates issued per device β€” suitable for ISO 27001 and internal audit submissions.

Devices are stored in biometric-access bays with CCTV 24/7 Surveillance. All staff sign NDAs. SafeStorage does not perform data wiping β€” we store devices securely until your IT team or a certified data destruction vendor completes sanitisation. Chain-of-custody logs are maintained throughout.

Each device is barcoded and linked to its serial number in your digital inventory. Request specific devices by serial number or asset tag via your account manager. We dispatch to your office or directly to the new hire's location within 24–48 hours.

Pricing: SMB IT (50–200 cft) β‚Ή5–7/cft/month, mid-size (200–500 cft) β‚Ή4–5/cft/month, enterprise IT (500+ cft) custom pricing. All include pickup and retrieval. GST extra as applicable.

The minimum period is 1 month. IT companies can retrieve devices as needed on a rolling basis. There are no lock-in contracts or penalties for early retrieval.
