The Challenge
A Delhi-based corporate event company with ₹1.2 crore of AV equipment and set materials had been storing their inventory across two rented godowns on the outskirts of Delhi. The godowns had no climate control, no security beyond a padlock, and no inventory system. Between events, equipment was loaded and unloaded without any condition checks — meaning damage was discovered at the event site, often with no way to prove whether it occurred during storage or transit. Their insurer had flagged the storage conditions at the last renewal and applied a loading to the premium. The company also had no efficient system for dispatching equipment to events outside Delhi — each out-of-city job required extensive scrambling to locate, load, and dispatch the right inventory.
The Solution
SafeStorage inducted the full ₹1.2 crore inventory over two days. AV electronics — LED panels, amplifiers, mixing consoles, and lighting control systems — were assigned to a climate-controlled bay. LED panels were stored in foam-padded racks, each barcoded individually. Moving heads and truss components were crated and barcoded by crate. Every piece of equipment was photographed at induction with condition recorded. The event company's production manager submitted dispatch requests to SafeStorage's B2B team with 24–48 hours notice, specifying inventory by barcode for each event. SafeStorage pre-staged, loaded, and dispatched to venues in Delhi, Mumbai, Bangalore, Hyderabad, Chennai, and Pune across 10 months. After each event, returned inventory was reinducted with a post-event condition check — immediately identifying any damage with photos.
The Result
28 events were served across 6 cities in 10 months with zero damage claims against SafeStorage storage. The production team's dispatch experience improved significantly — instead of hours of godown scrambles, each dispatch request was fulfilled against a digital inventory with confirmation in minutes. At insurance renewal, the event company presented SafeStorage's storage documentation — climate-controlled conditions, CCTV 24/7 Surveillance, biometric access, and inventory condition records — to their insurer.
