Why You Need This Checklist

Office relocation is one of the most operationally complex events a business faces. According to industry data, 60% of Indian office moves result in equipment damage or document loss β€” not because businesses are careless, but because they underestimate the number of moving parts involved. A single forgotten step can cost far more than the entire move itself.

Three hidden costs destroy the ROI of a poorly planned office move:

Operational Downtime

Every hour staff cannot work during the move translates directly into lost revenue. Unplanned downtime averages 3 extra days for businesses without a formal checklist.

📁

Data Loss & Compliance Risk

Improperly packed servers or missing document boxes can expose your business to GST audit failures, legal liability, and customer data breaches.

📄

Lease & Penalty Costs

Missing notice periods, failing to restore the old office to original condition, or overlapping leases all generate avoidable costs that this checklist helps you sidestep.

This four-phase checklist is built for Indian office moves β€” covering everything from ROC address changes to booking freight elevator slots. Work through it sequentially, assign owners to each item, and your move will run like a project, not a crisis.

PHASE 1 4–6 Weeks Before Moving

Planning & Vendor Selection

The decisions you make six weeks out determine everything that follows. This is the phase most businesses rush β€” and most businesses regret. Take your time here and every subsequent phase becomes easier.

Appoint a Move Coordinator

Designate one senior employee as the single point of accountability for the entire move. They own the timeline, vendor relationships, and communication to staff.

Audit All Assets (Furniture, IT, Documents)

Create a master inventory of everything in the office: every chair, server, monitor, filing cabinet, and document box. Photograph and tag each asset. This list drives all subsequent decisions.

Get a Storage Quote for Excess Items

Not everything from the old office will fit or belong in the new one. Identify surplus furniture and archive documents early, and get a storage quote. SafeStorage small units start at β‚Ή999/month with 48-hour pickup. Learn about office relocation storage β†’

Notify Clients of New Address

Send formal written notification to all clients, partners, and counterparties. Include the effective date and any change to contact numbers or email. Update your email signature immediately.

File Address Change with ROC and GST

Update your registered office address with the Registrar of Companies (Form INC-22 for companies). Update your GST registration address within 15 days of the move. Non-compliance attracts penalties.

Compare IT Movers and Storage Vendors

Get quotes from at least three IT relocation specialists and two storage providers. Verify insurance coverage, track record with server moves, and on-site packing capabilities.

Book Freight Elevator Slots

Contact both the old and new building management immediately. Freight elevator booking slots fill up fast. Confirm loading bay access, permitted hours, and any permit requirements.

Order Packing Materials

Order: banker's boxes (for documents), anti-static bubble wrap (for electronics), wardrobe boxes (for hanging items), cable ties and cable labels, permanent markers, and fragile tape. Order 20% more than you think you need.

PHASE 2 2–3 Weeks Before Moving

Packing & Pre-Move Preparation

With vendors booked and timelines confirmed, this phase is about systematic preparation. The goal is to minimise the amount that needs to happen on moving day itself, so you can focus on supervision rather than firefighting.

Label All Equipment with QR Codes

Print QR code labels that link to your master asset inventory. Stick them on every monitor, laptop, UPS, networking device, and piece of furniture. This makes post-move reconciliation instant.

Back Up All Servers and Critical Data

Run a full backup of all servers to both an offsite location and cloud storage. Verify the backup is readable. Do not move a server without a confirmed, verified backup in hand.

Photograph All Cable Setups

Before dismantling any workstation, server rack, or AV setup, photograph it from multiple angles. These photos are your restoration blueprint in the new office β€” without them, IT setup can take days longer.

Pack Non-Essential Items First

Begin packing items staff don't need in the last 2 weeks: archived files, conference room materials, stationery stores, spare equipment, dΓ©cor items, and unused furniture.

Move Excess Furniture to Storage

Transfer surplus furniture and old equipment to your pre-booked storage facility before moving week. This clears the old office faster and gives you more time to focus on active assets on moving day.

Notify Banks, Vendors, and Government Departments

Update address with: your primary bank(s), all key suppliers, ESIC/EPFO, labour department, local municipal body, and any ongoing government tenders or contracts.

Update Google Maps Business Listing

Submit your new address to Google Business Profile and update your website contact page. Schedule the Google update to go live on moving day. Also update LinkedIn, JustDial, IndiaMART, and any other directories.

PHASE 3 Moving Week

Moving Day Execution

Moving day will always have surprises. Your job is to reduce the number of decisions that need to be made in the moment by completing as much as possible in phases 1 and 2. On the day itself: supervise, document, and verify β€” in that order.

Disconnect and Pack IT Equipment in Anti-Static Bags

Shut down servers gracefully (never hard-power). Place hard drives, SSDs, and network cards in anti-static bags before boxing. Photograph each server rack after dismantling. Use original packaging where available.

Pack Documents in Labelled Banker's Boxes

Each banker's box should carry a label with: department name, box number, contents summary, and whether it contains confidential material. Number boxes sequentially (e.g., Finance: Box 1 of 12). Keep a master box list.

Take Photographic Inventory Before Loading

Before the first item goes onto a vehicle, photograph the entire office floor by floor. This is your condition record for the old office handover and your reference for insurance claims if anything is damaged in transit.

Supervise Loading Team

Have the move coordinator or a designated supervisor physically present throughout loading. Check every item against the master list as it leaves the building. Do not leave the loading team unsupervised.

Carry Server Backup Drives Personally

Never load backup drives onto the same vehicle as the servers they back up. A designated person (ideally IT head) should carry backup media in a carry-on bag, not in the moving truck.

Check Old Office Before Handover

Walk every room, cupboard, cable tray, server rack, false ceiling cavity, and storage area before handing over keys. Items left behind become a dispute β€” or a loss.

Photograph Old Office Condition at Handover

Take timestamped photographs of every room, wall, floor, and fixture immediately before handing over the keys. This is your protection against wrongful damage claims from the landlord.

PHASE 4 First Week in New Office

Settling In & Close-Out

The move is over but the work is not. The first week in your new office determines how quickly staff return to full productivity. Prioritise connectivity and systems above everything else β€” people can work without pictures on walls, but not without internet.

Unpack Servers First

The server room goes up before anything else. Rack, connect, and power on servers before staff begin unpacking their workstations. Use your cable photographs to restore setups correctly.

Test All Connectivity Before Staff Arrives

Test internet (primary + failover), internal network, VoIP phones, printers, and video conferencing equipment before the first employee walks in. Fix issues overnight β€” not while 50 people are waiting.

Retrieve Stored Items on Schedule

Once the new office is operational, book retrieval for items in storage according to your project timeline. SafeStorage offers retrieval within 48 hours. Stagger retrievals to avoid unmanageable delivery volumes.

Update GST Address Formally

File the GST amendment for your registered office address within 15 days of the move date. Update the address on all tax invoices immediately after the amendment is approved.

Notify All Vendors and Suppliers

Send final notification to any vendor not yet updated. Check that delivery addresses are corrected in your ERP or purchase order system β€” wrong delivery addresses on POs cause receiving failures.

Set Up New Access Cards and Biometrics

Programme new access cards, register employee biometrics, and set up visitor management. Confirm fire exit routes and update your emergency contact list with the new building's security desk.

Close Old Office Lease Formally

Obtain written confirmation of lease termination and security deposit refund timeline. Return all keys (obtain a written receipt), cancel any standing instructions related to the old premises (electricity, internet, security).

Storage During an Office Move: Why It Helps

Most Indian office moves involve a gap of days or weeks between vacating the old premises and being fully operational in the new one. Business storage fills this gap cleanly β€” removing the pressure of trying to handle everything on a single moving day.
